The Accounting Assistant (Part Time) performs accounts payable (A/P), back-up receptionist, administrative and office support activities for the Accounting department. 

Essential Job Functions:

  • Code invoices from the chart of accounts and input into the computer for payment, prepare checks for signatures.
  • Reconcile monthly vendor statements, including researching any discrepancies within Accounts Payable.
  • Accurately match Purchase Orders to packing slips and invoices, research discrepancies between Purchase Orders and Receivers and notify appropriate personnel of findings.
  • Back-up Receptionist duties when the main receptionist is out for lunch or out of the office.  These duties include answering the main phone line calls, transferring calls, taking messages, greeting and helping visitors.
  • Maintain files, open, stamp and sort daily departmental mail, answer phones, copying, etc.
  • Position requires professional daily interaction with various departments, vendors and customers.
  • Assist with Balance Sheet Account reconciliations of Balance Sheet control accounts and other accounts such as: Accounts Payable Aging Report, Received Goods not yet invoiced by Vendors (RGNI), Prepayments and Accruals, and Vendor Deposits.
  • Perform other various Accounting and or Clerical duties which may be required and as directed by Supervisor. 
  • Maintain a clean, safe and organized work area.
  • Work flexible hours as needed to meet production schedules and departmental needs.
  • Maintain an excellent attendance record following all company policies and procedures in the Employee Handbook and safety rules including working approximately 20 hours within the core work hours of Monday through Friday, 7:00 am to 3:45 pm.
  • At least 1 year experience with A/P.
  • Accounting education may substitute years of experience in some cases.
  • Ability to work effectively and efficiently with minimal supervision.
  • Exhibit a professional and friendly attitude.
  • Excellent written and oral communication and interpersonal skills.
  • Understand and maintain confidentiality.
  • Organize, prioritize and perform multiple tasks at one time.
  • Adequate computer skills and proficiency in the use of Microsoft Office programs.
  • Ability to operate a ten key calculator.
  • Ability to work with and meet deadlines.
Additional Job Functions: Other Preferred Skills / Abilities:
  • Experience using Enterprise Resource Planning (ERP) software.
  • Associates Degree or college coursework in Accounting.

Safety Requirements:

  • Appropriate Personal Protective Equipment including and not limited to gloves, safety glasses, hard hat and or a respirator may need to be worn when handling hazardous products or working in hazardous environments.  
  • Maintain and participate in keeping personal work area, shop and tools clean and in proper working order to ensure a safe working environment.
  • Hazardous materials are used in the production process.  Employees must follow all safety guidelines and know evacuation procedures, the location of first aid stations and SDS locations in areas they work or visit on Company property.
Working Conditions:

While performing the duties of this job, the employee is frequently required to use hands to grasp, finely manipulate, handle, or feel; and reach with hands and arms, to stand, walk and talk or hear.  The employee is frequently  required to sit and may push or pull and lift up to 50 pounds.  Specific vision abilities required by this job includes close vision, distance vision, color vision, depth perception, and ability to adjust focus.

This position is located on the second floor of a two story building.  There are only stairs to access the second floor, no elevator or other type of assistance is available.

The work environment is a production floor setting and is usually noisy and dusty.  It does not always maintain a consistent temperature but is dry.  Noise levels are moderate to high with some chemical odors present.  When on the production floor, PPE is required where noted.
